Essential Transport AssistanceLLC (“ETA,” “we,” “us”) provides non-emergency medical transportation in Broward, Miami-Dade, and Palm Beach counties, Florida. This policy explains what we collect from passengers, families, and the facilities that book with us, and what we do with it.

To arrange and complete a ride, we collect:

• Your name, phone number, and email address, and the same for a family member or caregiver if you ask us to keep them informed.
• Pickup and destination addresses, appointment dates and times.
• Mobility needs — whether you travel ambulatory, by wheelchair, or by stretcher, and any assistance our crew should know about to move you safely.
• Who is paying: yourself, a facility, an insurer, or a transportation broker, and the claim or authorization numbers that go with it.
• Records created while the ride happens — pickup and drop-off times, mileage, and signatures where required.

Some of this is health-related. We treat every ride record as confidential and never use it for advertising.

When you book a ride, we may text you about that ride: a booking confirmation, a reminder the day before, a note when your driver is on the way, and an update to your designated family member when you are on board. We ask for and use your mobile number for that purpose.

We do not sell your mobile number or your text-message consent, and we do not share either with third parties or affiliates for their own marketing purposes.

Message frequency depends on how many rides you book. Message and data rates may apply. Reply STOP to any message to stop receiving texts, or HELP for help. You can also just call dispatch at 954.477.7340 and we’ll turn them off. Opting out of texts never affects your ride — we’ll reach you by phone instead. Only to run your transportation and our business: scheduling and dispatching rides, routing drivers, keeping you and your family informed, billing the responsible payer, meeting our insurance and recordkeeping obligations, and answering your questions. We do not sell personal information.

Our drivers and office staff, limited to what they need to do their jobs. Beyond that, only the service providers who make the operation work — our dispatch and billing software, text-message and email delivery providers, payment processors, and mapping services — and only the minimum each one needs. When a facility, insurer, or broker is arranging and paying for your ride, we share ride details with them because they are party to the transport.

We may also disclose information when the law requires it, or when it is necessary to protect someone’s safety.

Ride records live in access-controlled software; information is encrypted in transit and at rest, and staff accounts are limited by role. Payment card numbers are handled by our payment processor, not stored by us. No system is perfect, but we take the confidentiality of medical transport seriously and keep records of significant changes.

We keep ride, billing, and safety records as long as we need them for the trip, for billing and insurance, and to meet legal and tax requirements. After that we dispose of them securely.

You can ask us what we hold about you, correct it, or ask us to delete it, and you can stop text messages at any time as described above. Call 954.477.7340 or email Dispatch@essentialtransportassistance.com. If a facility or insurer arranged your ride, some records may also be held by them.

Our website is not directed at children. We do transport minors when a parent, guardian, or facility arranges it, and in that case the ride record is created by the adult who booked it.

If we change how we handle information, we will update this page and the date at the top.
